    GHL Storage Management System

A purpose-built SaaS solution that transforms how storage facility entrepreneurs manage their operations—bridging the gap between physical units and digital customer management.

    The Story Behind the Solution

    The Problem I Observed

While working with storage facility owners who use GoHighLevel, I noticed a recurring frustration: they had powerful CRM tools for managing customer relationships, but their actual units—the core of their business—were managed in disconnected spreadsheets, whiteboards, or even pen and paper.

Picture this: Sarah runs a 150-unit storage facility. A customer calls asking about a 10x10 climate-controlled unit. Sarah has to:

    1. Open her spreadsheet to check availability
    2. Search through rows to find vacant units
    3. Call the customer back with options
    4. Manually enter their info into GoHighLevel
    5. Update the spreadsheet to mark the unit as reserved
    6. Set a reminder to follow up on move-in day
    7. Manually update both systems again when they actually move in

By the time she's done, 15 minutes have passed—and she still needs to remember to update the monthly revenue calculations for her reports.

What if all of that could happen in 30 seconds?

The Solution: A Visual, Integrated Management System

I built a SaaS application that bridges the gap between physical storage units and digital customer management. Here's how it transforms the daily operations of storage facility entrepreneurs:

    1. See Your Entire Business in Living Color

Instead of scrolling through rows in a spreadsheet, facility owners see an interactive floor plan of their property—their actual layout, with every unit represented visually.

    Color-coded status at a glance:

    • Green units = Ready to rent (opportunity!)
    • Blue units = Occupied and generating revenue
    • Yellow units = Reserved (incoming tenant secured)
    • Red units = Under maintenance (not dragging down occupancy stats)

Interactive drag-and-drop facility map with real-time status visualization

Hover over any unit? Instant tooltip shows the tenant's name, rental rate, and move-in date. Click it? Full details and action buttons appear.

Impact: Sarah can now answer that customer call in real-time. "Yes, I have three 10x10 climate-controlled units available—one in Building A near the entrance, and two in Building B. Which would you prefer?"

    2. GoHighLevel Integration That Actually Saves Time

The magic happens in the connection between units and customers. When Sarah reserves Unit B-12 for John Smith:

    What happens automatically:

    • • John's GoHighLevel contact record updates with unit details
    • • Storage unit number: B-12
    • • Status: Reserved
    • • Expected move-in date: February 1st
    • • Monthly rate: $125
    • • The unit on the floor plan turns yellow
    • • John appears in "Upcoming Move-Ins" dashboard
    • • Automated GHL workflows can be triggered

    When John actually moves in:

    • • One click converts status to "Occupied"
    • • The unit turns blue
    • • GHL contact updates with actual move-in date
    • • Monthly revenue counter increases by $125
    • • Recurring billing can be set up through GHL

No double-entry. No forgetting to update a spreadsheet. No sync issues.

Impact: Sarah saves 10-15 minutes per tenant interaction. With 5-10 transactions per week, that's 10+ hours saved monthly—time she can spend growing her business instead of managing data.

    3. Smart Workflows for Every Transaction

Every common task is streamlined into a simple, guided workflow:

    Reserve a Unit

Click vacant unit → Search for customer in GHL (or create new) → Pick expected move-in date → Done. The system handles the rest.

    Move In a Tenant

Click unit → Select customer → Confirm move-in date → The unit turns blue and billing starts.

    Transfer to a Bigger Unit

Customer needs more space? Click "Transfer" → See all available units filtered by their preferences → Select new unit → System calculates the price difference and suggests a prorated adjustment → Confirm. Done in 60 seconds.

    Move Out Process

Click unit → Confirm move-out date → Add optional exit notes → Submit. Unit turns green, ready for the next customer. The system archives the rental history for future analysis.

Impact: Sarah's staff can handle these tasks without calling her for approval. She's set permissions so managers can perform these actions, while seasonal staff have view-only access. Everyone works faster, with less training required.

    4. Analytics That Drive Better Decisions

The dashboard gives facility owners instant visibility into their business performance:

    58%

    Occupied Units

    $8,450

    Monthly Revenue

    $4,350

    Revenue Opportunity

    Visual Charts:

    • • Occupancy trend over 12 months
    • • Revenue by unit size
    • • Average rental duration
    • • Move-ins vs. move-outs timeline

    Actionable Tables:

    • • Upcoming move-ins in next 30 days
    • • Units vacant >90 days
    • • Units in maintenance >30 days

Impact: Sarah can now make data-driven decisions. She noticed 5x5 units have the highest turnover but generate the least revenue per square foot. She's considering converting some to 10x10 units during her next expansion.

    5. Built for Growth

As entrepreneurs scale, the system scales with them:

    Multi-User Management

    • Owner (Sarah): Full access to everything
    • Manager: Can handle all unit operations, view analytics, but can't access billing
    • Staff: View-only access for answering customer questions

    Custom Configuration

Every facility is different. The system allows owners to:

    • • Define custom unit types (climate-controlled, drive-up, indoor, covered parking, etc.)
    • • Create custom amenities (24hr access, electrical outlets, loading dock access)
    • • Set up their unique floor plan layout

    Floor Plan Builder

The initial setup is surprisingly simple:

    1. Upload facility floor plan PDF
    2. Place units on a grid overlay
    3. Export a spreadsheet template
    4. Fill in unit details (size, rate, features)
    5. Import back into the system
    6. Generate GoHighLevel product list
    7. Link units to GHL products

Total setup time: 20-30 minutes for a typical facility.

    Why This Matters

Storage facility management is often overlooked in the software world. These entrepreneurs are running real businesses with real inventory (physical units), but they're using tools designed for spreadsheets, not operations.

By creating a purpose-built solution that integrates with their existing CRM (GoHighLevel), I'm helping them:

    • • Save time on administrative tasks
    • • Increase revenue through better visibility and faster turnaround
    • • Scale confidently with systems that support growth
    • • Serve customers better with instant, accurate information

This isn't just a productivity tool—it's a business transformation for an underserved market.

    Current Status

This is a concept-to-production project that I'm actively developing. The system is being built to validate market demand and refine features based on real user feedback.

    What's included now:

    • • Complete technical specification
    • • Database architecture designed for scale
    • • Integration framework for GoHighLevel API
    • • User workflows mapped and optimized
    • • Business model validated ($49/month per facility)

    Next steps:

    • • Beta testing with initial storage facility owners
    • • Iterating based on real-world usage
    • • Expanding integrations (payment processing, automated workflows)
    • • Building out advanced analytics and reporting features

    The Vision

I see this growing into the operating system for storage facility entrepreneurs—a platform where they can manage units, communicate with customers, process payments, handle maintenance, and analyze performance all in one place.

Because every business deserves tools that work for them, not against them.

This project showcases my ability to identify real business problems, design complete software solutions, and build systems that deliver measurable ROI for entrepreneurs.
